What a flooring estimate should itemise
A written flooring estimate is not a single total. It is a breakdown of the work required to take a room from the existing floor to a finished surface that will perform as intended. When every cost driver sits on its own line, you can compare bids, spot missing scope, and see how changes in product or room condition affect the price. A one-line figure usually compresses those decisions into an assumption you never get to review.
Materials and underlayment
Material line items should name the product type (hardwood, engineered wood, laminate, luxury vinyl plank, ceramic or porcelain tile, sheet vinyl, or carpet), the coverage unit (square feet or boxes), and any waste factor. Waste is not padding; it covers cuts, pattern matching, and damaged pieces. The estimate should also state grade or wear-layer thickness where that attribute defines the product, and whether the quoted quantity matches the measured floor area after deductions for fixed cabinets or other permanent fixtures.
Underlayment deserves its own line because it is not optional decoration. Resilient floors over concrete often require a moisture-related underlayment or vapor retarder specified by the flooring manufacturer. Wood and laminate systems commonly call for a foam, felt, or cork underlayment that provides acoustic isolation, minor leveling, and, in some assemblies, a vapor barrier. Thickness is often given in mils for film barriers (for example, a 6-mil polyethylene sheet when that is what the assembly requires) or in millimeters or inches for foam and cork. If the product has an attached pad, the estimate should say so and not charge separately for a pad that is already included. Tile installations use a different stack: thin-set mortar, and sometimes an uncoupling membrane or backer board, which should appear as materials rather than being buried in “install.”
Tear-out, disposal, and subfloor preparation
Removing the existing floor is separate from installing the new one. Tear-out should list what is coming up (carpet and pad, vinyl, tile, wood), how many layers if known, and whether adhesives, staples, or thin-set must be scraped. Disposal is not free labor; hauling and dump fees belong on the estimate so you are not surprised later.
Subfloor preparation is where many vague quotes fail. Wood subfloors may need fastening to reduce movement, sistering of joists, or replacement of damaged panels. Concrete may need grinding, patching, or a self-leveling underlayment to meet flatness tolerances in the product instructions. Moisture testing on concrete is often required before resilient or wood products go down; common methods include relative-humidity probes per ASTM F2170 and, where still specified, moisture vapor emission testing per ASTM F1869. Surface preparation for resilient flooring is addressed in ASTM F710. For ceramic and stone, industry practice also looks at structural stiffness; a common reference for floor systems supporting tile is live-load deflection not exceeding L/360 (span divided by 360). If the estimate assumes a “ready” subfloor and yours is not, the price will change after the old floor is open.
Transitions, trim, and labour
Transitions connect the new floor to adjacent surfaces of different height or material: T-moldings, reducers, end caps, and thresholds. Each opening and height change can need a different profile. Trim includes baseboard, quarter-round or shoe molding, and any reinstallation or new material. Whether existing base is removed and reset, or left in place with shoe molding added, should be explicit, because labor and finish matching differ.
Labour should be broken out or at least described by task: tear-out, prep, install, trim, and cleanup. Installation method matters: glue-down, nail- or staple-down, floating, or thin-set for tile. Labour lines should reflect access constraints, stairs, pattern work (diagonals, herringbone), and furniture moving if included. If furniture moving is excluded, that should be stated so the scope is clear.
What a single number hides
A single total can hide a lower waste factor, thinner underlayment, skipped moisture testing, no allowance for leveling compound, reused damaged trim, or labour that assumes a flat, dry, empty room. It can also hide an incomplete material schedule—enough planks for the open floor but not for closets, or tile without the correct thin-set and grout. When two bids differ, the useful comparison is not the bottom line alone but which line items each bid actually contains and which conditions each bid assumes.
